Thank you for partnering with the Texas Coaches Coalition (TCC) for the 2027 All Texas Retreat and Conference. We appreciate your investment in our community and look forward to showcasing your organization throughout the conference.
This Agreement outlines the responsibilities of both TCC and the Sponsor. Sponsorship benefits are those described in the official 2027 Sponsorship Opportunities flyer. The Sponsor will receive the benefits associated with the selected sponsorship level. Benefits are provided according to the sponsorship level purchased and are subject to applicable submission deadlines. Conference registration and meals for you or your booth representative are not included with your sponsorship.
Payment is due upon registration unless other arrangements have been approved in writing by TCC. Sponsor benefits begin after payment has been received. Sponsorship is confirmed once this Agreement has been signed, accepted by TCC, and payment has been received.
Sponsor Responsibilities
The Sponsor agrees to:
Provide logos and requested marketing materials by published deadlines.
Ensure submitted materials are accurate and that the Sponsor has permission to use all logos, trademarks, and other content provided.
Staff exhibit space during exhibit hours, if applicable.
Conduct business in a professional and respectful manner throughout the conference.
Comply with all conference and venue policies.
Exhibit Space
Sponsors receiving exhibit space are responsible for the setup, staffing, and removal of their exhibit materials during the conference. Unless specifically included in the sponsorship package, additional furnishings, electrical service, internet access, audiovisual equipment, shipping, storage, and labor are the responsibility of the Sponsor.
Cancellation
Sponsor fees are non-refundable once payment has been received. If the Sponsor is unable to attend the conference, sponsorship benefits may be forfeited and no refunds or credits will be issued.
Conference Changes
If circumstances beyond TCC's reasonable control require changes to the conference date, location, schedule, or format, TCC may modify sponsor benefits as reasonably necessary. Every effort will be made to provide benefits of comparable value.
Liability
Sponsors are responsible for their own employees, representatives, displays, equipment, promotional materials, and personal property. TCC is not responsible for lost, stolen, or damaged property.
Use of Sponsor Logo
The Sponsor grants Texas Coaches Coalition permission to use its company name and logo solely for conference marketing, recognition, and promotion associated with the 2027 All Texas Retreat & Conference.
General Terms
This Agreement, together with the 2027 Sponsorship Opportunities flyer, represents the complete understanding between Texas Coaches Coalition and the Sponsor regarding conference sponsorship. Any modifications must be agreed to in writing by both parties. This Agreement is governed by the laws of the State of Texas.
